Overview

The Senior Administrative Assistant provides high-level operational and administrative support to department leadership and cross-functional teams. This role requires exceptional organizational skills, strong judgment, and the ability to manage multiple priorities in a fast-paced environment. The Senior Administrative Assistant acts as a key point of coordination, communication, and workflow management across the business.


Key Responsibilities

Executive & Team Support

  • Manage complex calendars, meeting logistics, and scheduling across multiple stakeholders.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Prepare meeting materials, agendas, presentations, and minutes.
  • Serve as a primary point of contact for internal and external inquiries.

Operations & Workflow Management

  • Support departmental planning, project tracking, and coordination of deliverables.
  • Maintain and organize documents, records, and shared digital workspaces.
  • Assist with procurement, vendor coordination, and invoice processing.
  • Handle confidential information with discretion and professionalism.

Communication & Collaboration

  • Draft and proofread correspondence, reports, and announcements.
  • Build positive working relationships across teams and levels of leadership.
  • Act as a liaison with cross-functional partners to support smooth workflow and timely follow-ups.

Event & Meeting Coordination

  • Plan and support department meetings, workshops, and team events.
  • Coordinate logistics such as room reservations, catering, equipment setup, and guest arrangements.

Qualifications

Required

  • 3+ years of administrative support experience, including experience supporting senior-level staff.
  • Strong organizational, time-management, and prioritization skills.
  • Excellent verbal and written communication abilities.
  • Advanced proficiency with Microsoft 365 (Outlook, Teams, Excel, Word, PowerPoint).
  • Ability to work independently and handle sensitive information with confidentiality.
  • Strong problem-solving skills and a proactive, resourceful work style.

Preferred

  • Familiarity with project management or workflow tools.
  • Associate's or bachelor's degree (or equivalent experience).
